About the Role
As part of the Development Department’s Major Gifts Team, the Major Gifts Associate will support various efforts to secure significant donations from individual stakeholders. Reporting to the Director of Major and Planned Giving, this role’s key responsibilities will include data management, donor research, major gift acknowledgments, and major and planned giving cultivation and stewardship efforts. This position will work closely with the Major Gifts Officer and other members of the Development Department including Communications, Donor Services, Donor Engagement and Events, and Grants.
Responsibilities and Duties
Essential responsibilities and duties include the following (other duties may be assigned as needed):
Donor Communication and Stewardship :
Support the scheduling of individual meetings, calls, and visits with donors and prospects.
Prepare and send thank-you letters, timely and accurate acknowledgments, and other donor communications for upcoming renewals (LYBUNTS) and lapsed donations. Maintain gift letters for all donations of $25,000+, for audit purposes.
Maintain up to date Board lists and donor lists for publication in Annual Report and website.
Research and Prospecting :
Conduct thorough research and reporting for donors and prospects using wealth screening tools and publicly available information to be prepared for executive and leadership staff members.
Prepare and present research briefs and profiles on major donors and prospects before individual engagements or events.
Administrative Support :
Maintain accurate and timely donor data in the CRM database, including activities for outreach and solicitation, meeting notes, and creating new records.
Review daily gift reports, update online gift tracker, and support timely acknowledgment by portfolio managers.
Routinely review acknowledgment templates for updated language and impact data.
Ensure that all communications are consistent with agency branding and messaging.
Manage schedule of renewal outreach
Monitoring EFT bank account and entering The Chef’s Table level EFTs into SF quickly on date of receipt.
Project manage in-house major donor appeal and annual donor statements.
Event Coordination :
Support the planning and execution of fundraising and donor events with logistics, invitations and follow-up.
Attend and staff development events, including evenings and weekends as necessary.
Collaboration and Team Support :
Support internal major gifts meetings by creating the agenda, taking in-meeting notes, and tracking follow-up activities.
Familiarize and understand Community Servings fundraising priorities and strategic vision.
Qualifications
Excellent customer service skills and prior administrative experience a plus
Collaborative, positive and team-oriented individual
Effective interpersonal and written communications skills
Exceptional organizational skills, complete tasks efficiently and independently
Proficiency in Microsoft Suite required
Familiarity with Salesforce and/or other CRM database systems preferred
Able to handle multiple projects in a fast-paced office environment
Strong problem-solving and decision-making capabilities to meet deadlines
Ability to maintain confidential and sensitive information
Support fundraising events that require work beyond typical business hours
Education/Experience
Bachelor’s degree and 1-3 years of relevant experience
OR
High school diploma and 2 years of experience in direct customer service and or administration
