WASHINGTON STATE CHARTER SCHOOLS ASSOCIATION JOB DESCRIPTION: Finance Director Place of Performance : Remote (Occasional in-person meetings) Status : Full Time, Exempt Travel Requirements : Minimal, in-state Salary Range : $110,000 – $125,000 WHO WE ARE: WA Charters is the advocacy and communications arm of Washington's charter public school sector. We represent charter schools, their students, families, and staff through education, policy, advocacy, litigation, and communications strategies. POSITION OVERVIEW: WA Charters is a small but mighty team (With fewer than six full-time team members), and we expect all positions to contribute to our broader goal of growing and stabilizing an effective charter school sector in Washington. Charter public schools provide free, public education options to families and students to advance equity and student performance in Washington State’s public schools. Specifically, the Finance Director leads and oversees the effective execution of finance, accounting, and reporting functions while supporting all program and leadership team members with financial analysis, budgeting, and strategy. The Director manages day-to-day finances, develops accounting policies and procedures, and ensures accurate recording and documentation of all financial transactions supporting WA Charters’ long-term financial objectives and organizational strategic plan. The Director collaborates with the Executive Director, other department leaders, and staff across the organization, and supports the board’s Finance Committee. KEY RESPONSIBILITIES: FINANCIAL MANAGEMENT AND LEADERSHIP- 60%: · Lead WA Charters’ financial accounting and reporting function, including: Tracking/monitoring organizational progress, Provide an analysis of organizational financial status, and Help develop a plan of action to improve organizational financial sustainability objectives. · Lead the finance and accounting function by ensuring accuracy of all accounts, ledgers, and reporting in compliance with appropriate US GAAP standards and regulatory requirements. · Analyze and present financial reports to the Executive Director accurately and timely. · Implement contracts management and financial management/ reporting system; ensure the contract billing and collection schedule is adhered to and that financial data and cash flow are steady to support operational needs. · Work across departments to ensure the accuracy of all internal and external financial information and the accuracy of the financial information in all systems. · Oversee the annual budgeting and planning process in collaboration with the Executive Director while supporting and training budget holders regarding annual budgets. · Responsible for managing and coordinating the audit process and preparing all information for the annual audit. · Support the Executive Director in managing banking and other financial institution relationships. · Act as liaison to the Finance Committee and Board of Directors. · Prepares Finance Committee meeting minutes. SYSTEMS MANAGEMENT- 20%: · Develops new finance or accounting policies and procedures; identifies ways to improve current systems. · Maintain internal controls and safeguards for the receipt of revenue and actual expenditures. · Develop and maintain grant allocation schedules and cost-sharing for timely internal and external reporting. · Manage and ensure proper and timely filing of tax returns, business and occupation taxes, and state registrations. · Manage organizational cash flow forecasting. · Manage and track the performance of invested assets in keeping with policies and investment guidelines in conjunction with the Executive Director, Finance Committee, and Board of Directors · Responsible for the management and coordination of the audit process and the preparation of all information for the annual audit. TALENT MANAGEMENT AND HUMAN RESOURCES- 20%: Collaborate with the Executive Director to develop and implement an organizational culture that supports staff to do their best work in alignment with our mission, vision, core values, and strategic priorities. Work with the Executive Director to create and implement systems for ongoing and consistent feedback among staff, peers, managers, and teams; Manage the annual performance management process. Identify professional development resources to support individual and team skill development. Total Rewards & Compensation: o Lead annual salary review process to ensure equitable staff recognition across the organization. Engage vendors to conduct external market research as needed. o Conduct an annual review of WA Charter’s benefits strategy to ensure alignment with people-related best practices and lead efforts to ensure staff members are aware of and maximize employee benefits. Compliance & Employee Relations o Annually review and update the Employee Culture Guide. Create/Revise HR policies and procedures, ensuring they are: (a) in compliance with applicable employment laws, grounded in our anti-racism and equity goals (b) consistently applied. o With the Executive Director, develop an overall strategy for managing employee grievances, emphasizing conflict resolution.; manage employee relations, internal inquiries, and investigations, if and as necessary WHO YOU ARE: WA Charters is seeking a team member that has the following essential skills and experience: · A resolute personal and professional commitment to equity and growing high-quality public education options for kids and families in Washington. · BA, preferably in Accounting or Finance, career experience in lieu of formal training will be considered. · 6 – 8 years of related experience, preference for non-profit finance experience · Experience with nonprofit fund accounting for a 501(c)(3) organization and preferred experience with a 501(c)(4). · Experience with payroll processing and benefits administration · Demonstrated experience with complex grants, personnel allocations, and cost-sharing among entities. · Mastery of Excel - pivot tables, nested formulas, etc., Proficient in Microsoft Word, PowerPoint, and Outlook · Excited by the prospect of creating a continuously improving department, working independently and in a team. · This position requires flexibility to travel to the work site, a valid Washington Driver’s License, and proof of minimum state-required insurance. WORKING ENVIRONMENT: · WA Charters has a hybrid work model and maintains an office in the McKinstry Innovation Center in the SoDo district of Seattle; there is currently no office requirement. WA Charters has quarterly in-person staff meetings and other ad-hoc in-person staff and sector gatherings. This role may require more office time than others. · Open office workspace, with frequent sitting, occasional standing, and/or walking, and urban noise. · Occasionally, locals travel outside the office, driving their vehicle or using public transit. · Occasional need-based irregular hours outside of the standard workweek (e.g., nights and weekends) · Occasionally lift/carry up to twenty-five pounds. · Occasionally push/pull up to twenty-five pounds. · WA Charters will make accommodations where necessary.
