About the Role

The Intake Coordinator plays a critical, substantive (non-attorney) role in our client onboarding process. This position involves conducting in-depth consultations with potential new clients (PNCs) to evaluate their cases thoroughly and compassionately.

While prior law firm experience is not required, we have a strong preference for veterans, military spouses, veteran spouses, or individuals with strong ties to the military community. Strong connection, listening, and clear communication skills are what matter most legal knowledge can be learned here.

Key Responsibilities

  • Review VA rating decisions, denial letters, and other supporting documents.
  • Conduct detailed intake consultations, asking in-depth questions about service history, medical conditions, and other relevant factors.
  • Use Excel-based case valuation tools to estimate potential case value and assess case viability.
  • Compile comprehensive intake summaries and recommendations for the attorney, who will make the final decision or request further information.
  • Maintain meticulous records and ensure data accuracy throughout the intake process.
  • Identify and pursue opportunities for community outreach to local veteran groups and organizations to expand our visibility and connect with more PNCs. While not a marketing position, we value initiative and the ability to help us reach more potential clients through grassroots efforts.
  • Support process improvements and help build systems to handle increasing lead volume as the firm grows.
  • Contribute to creating a positive, welcoming experience for each potential client.

As we continue to expand, we envision this role evolving into a leadership position. We are looking for a self-starter who can grow with us and eventually oversee additional intake specialists, helping to build out a robust and high-performing intake department.

Job Requirements

  • Military connection strongly preferred: veteran, military spouse, veteran spouse, or individual with strong ties to the military community.
  • Minimum of 2 years of work experience in a client-facing, administrative, customer service, or similar role. (Experience in a professional services, healthcare, or legal environment is a plus but not required.)
  • Friendly, approachable, and confident demeanor; excellent interpersonal skills.
  • Strong written and verbal communication skills clear, concise, and warm.
  • Self-starter with a proactive mindset; able to work independently and take initiative.
  • Tech-savvy and comfortable learning new systems and processes quickly.
  • High level of integrity and ability to handle sensitive information with confidentiality.
  • Reliable, detail-oriented, and organized.
  • Comfortable representing the firm at community events and building external relationships (if local).
  • Positive attitude and a sharp sense of humor.

Compensation & Benefits

  • Starting Salary: $50,000, could be higher depending on experience (with room for growth as the role evolves)
  • Medical: Reimbursement for qualifying premiums
  • Retirement: 4% 401(k) match after 90-day probation
  • PTO: 10 days annually (prorated if starting mid-year), plus an additional 5 days unpaid leave available
