The Volunteer & Youth Events Specialist plays a key role in supporting the mentoring relationships between our Bigs (volunteers) and Littles (youth mentees) by creating opportunities for them to connect, learn, and have fun together. This position plans, coordinates, and hosts engaging events, activities, and training for mentors, mentees, and their families in our Community-Based Mentoring Program. You’ll also work to build partnerships with local businesses, community members, and sponsors who can help provide the resources and funding to make these activities possible.
From organizing a holiday celebration, to securing donated tickets for a baseball game, to hosting skill-building workshops — you’ll be at the center of creating experiences that strengthen relationships and help youth thrive.
Key Responsibilities:

Plan, coordinate, and host a variety of youth-friendly programs, activities, training, and events for mentors, mentees, and their families.
Build relationships with local businesses, community members, and organizations to secure resources, donations, and sponsorships that support events and activities.
Collaborate with agency staff, volunteer committees, and external partners to bring creative and engaging opportunities to life.
Research and identify fun, educational, and low-cost/free opportunities in the community for matches to enjoy together.
Create event timelines, manage logistics (venue, catering, entertainment, materials, décor), and oversee on-site setup and clean-up.
Promote agency events and opportunities to mentors, mentees, and parents through email, flyers, and creative marketing materials.
Manage event-related communication channels, including the “countmein” email account.
Track participation, attendance, and match engagement through accurate data entry and reporting.
Distribute donated tickets and ensure they are utilized to benefit as many mentoring matches as possible.
Capture photos, videos, and stories from events to share with our marketing team for community outreach.
Develop and maintain a monthly list of local community activities and opportunities for matches.
Gather feedback from participants to improve programming and measure impact.
Maintain a welcoming and engaging environment in the Activity Center for visiting matches.
Support other programs and development events and initiatives as needed.
Requirements: Skills & Qualifications
Associate degree required; bachelor’s degree preferred.
At least 2 years of experience working directly with children or youth (e.g., camp counselor, youth program aide, case manager, afterschool program leader, etc.).
Experience in event planning or program coordination preferred.
Strong relationship-building and community networking skills.
Excellent organizational skills with the ability to manage multiple priorities.
Creative, resourceful, and able to bring fresh ideas for engaging youth and volunteers.
Proficiency with Microsoft Office; familiarity with Canva, Adobe, or similar design tools a plus.
Comfortable working evenings and weekends as needed for events.
Valid driver’s license, reliable transportation, and willingness to travel across Long Island.
Working Conditions and Hours :
The worker is subject to both environmental conditions: Activities occur inside and outside.+
HYBRID (3 days Remote-2 Days in Office or as business needs require)
Saturdays as needed (9:00 AM - 5:00 PM)
35 hour work week (7 hours work plus 1 hour lunch per day)
Typical Schedule:
Mon, Tues, Friday Remote unless business needs require in office (9:00 AM - 5:00 PM)
Wed-Thurs Required in office 12:30 PM - 8:30 PM
Physical Requirements:
Light work: Exerting up to 35 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for Sedentary Work and the worker sits most of the time, the job is rated for Light Work.
Standing: Remaining upright on the feet, particularly for sustained periods of time
Walking: Moving about on foot to accomplish tasks, particularly for long distances or moving from one work site to another
